Comparison
QR seating chart app vs a Google Sheet or Canva design with a QR code
You can make a QR seating chart yourself: share a spreadsheet or a designed seating chart online, then turn its link into a QR code. It costs little or nothing and works. Here is how it compares with a dedicated guest page.
Side by side
| Shared sheet or design + QR code | Find Your Table | |
|---|---|---|
| What the guest sees | The whole sheet or design, to scroll or zoom | A search box, then their own table |
| Who can see the list | Anyone with the link sees every name and table | Nothing until 2 characters are typed, then at most 6 matching names |
| Changes | Edit the shared file; if the code points to a fixed image or PDF, you need a new file or a redirectable code | Edit in the dashboard; the code and link stay the same |
| On a phone | Spreadsheets and posters are made for larger screens | Made for a phone screen |
| Private notes | Any column you share is visible, so notes need a separate file | Groups, dietary needs and notes stay in your dashboard |
| Cost | Usually free | Free for up to 50 guests; paid plans are a one-time payment per event |
When the do-it-yourself route is enough
- A small event where everyone knows each other and the full list being visible is fine.
- A seating plan that will not change after you share it.
- You are comfortable checking that the shared file opens on any phone without a sign-in.
Things to check if you build it yourself
- Open the link on a phone that is not signed in to your account, to see exactly what guests see.
- Remove columns guests should not see before sharing.
- Check whether your QR generator's code points straight at the file or can be redirected later, and whether redirecting is a paid feature.
What a dedicated guest page adds
A search instead of a list, so each guest gets one answer on a small screen. A list that is never on display. Edits that need no new file or code. And, on paid plans, extras such as menu and floor plan pages and a check-in mode for you and your team. See how the guest search works.
