Guide
Change your seating chart without reprinting the sign
Seating changes after the sign is printed: a cancellation, a new partner, two cousins who should not share a table. With a QR seating chart, the printed code opens a live page instead of a fixed picture, so the sign stays usable when table assignments change.
Why the printed QR code keeps working
The QR code on your sign holds one thing: the address of your event's guest page. It does not contain any names or tables. Those live in your dashboard, and the guest page reads them each time a guest searches.
So when you move a guest to another table and save, the code and the link stay the same. Only the answer behind them changes.
How to change a table after printing
Open your event's guest list
Sign in and open the event in your dashboard. Every guest is listed with their table.
Edit the guest's table
Change the table name or number, or remove a guest who is no longer coming.
Save
The change is saved as soon as you confirm. There is nothing to republish and no new code to download.
Check it on your phone
Open your guest page, search the guest's name and confirm the new table.
What a guest sees after a change
The guest page does not push updates to phones. A guest who opens the page, or refreshes it, and searches their name sees the table you last saved. Someone who looked up their table an hour earlier and kept the old result on screen will see the old table until they search again.
For a change on the day itself, it is worth telling the guests involved, or the person at the welcome table, so nobody relies on a result they saw earlier.
Print-once checklist
- Download the QR code (PNG or SVG) and put it on your sign, place card or welcome board.
- Scan the printed proof with two different phones before the final print run.
- Print the event's own words near the code, such as "Scan to find your table", so guests know what it is for.
- Do not print table numbers next to names on the same sign: that part would go out of date.
- Keep the event published on the day: an unpublished event cannot be searched.
- Make your last edits in the dashboard, then search a few names yourself.
What still needs reprinting
Anything that prints a name next to a table. If you also have escort cards, place cards or a printed board that lists every guest, those do not update. Many couples keep a decorative sign with just the QR code and let the guest page carry the names.
Questions
Do I need a new QR code after I change the seating?+
No. The code points to your event's guest page, and that address does not change when you edit guests or tables.
Is changing tables free?+
Yes. Last-minute edits are included on every plan, Free included. The free plan covers one event with up to 50 guests.
How late can I change a table?+
Right up to and during the event. A guest who opens or refreshes the page and searches after you save sees the new table.
Do guests get a notification when their table changes?+
No. Nothing is sent to guests. They see the current table the next time they search.
Print once, keep editing
